Awaiting dispatch shows all orders ready to pack and dispatch. Each order has an order preparation checklist — work through the steps before clicking Shipment prepared.
Getting started
Go to Orders → Awaiting dispatch.
Orders are sorted by priority and due date by default.
Use filters to narrow the list by delivery type, sales channel, status, shipment, or date.
Use search to find a specific order by order ID or part ID. Press Enter to run the search.
Click any part photo in the list to preview it without opening the order.
Customising the Awaiting dispatch list
You can choose which columns appear in the list and rearrange them.
Click the Table setup icon next to Clear filters.
Check or uncheck columns to show or hide them.
Drag columns to reorder them, or pin a column to the left or right side of the table.
Changes apply to your view only and are saved automatically.
Order preparation checklist
Each order has the following preparation steps. Steps are grouped into Required to add and Optional — which steps fall into each group depends on the order. Shipment prepared is locked until all Required to add steps are complete.
Picking
Lists the parts to locate before packing. Picking is for reference only — you can mark an order as prepared without completing it.
Invoice
Shows whether an invoice is required. If required, upload or generate it from this step. If the buyer did not request one, the status shows as Not needed.
Dimensions
Enter the parcel dimensions before generating a shipping label.
Click Dimensions.
Click the Ovoko Pack recommendation to use the suggested box size — dimensions fill automatically. To use a different size, select it from the Package type dropdown and enter the dimensions manually.
Enter the weight.
Click Apply.
If your box size is not in the list, select the closest option and adjust the measurements manually.
Photos
Take at least 3 photos: the part before packing, the part in open packaging, and the sealed box ready for collection.
To upload from desktop: drag and drop files into the upload area, or click Browse.
To upload from your phone: click Photos, then scan the QR code shown on screen. The upload opens on your phone — take or select photos and they attach directly to the order.
Shipment prepared
Once all required steps are complete, click Shipment prepared. This unlocks the Shipping label section, where you can select a format and generate the label.
Important to know
Orders are sorted by due date and priority by default. Priority and older orders appear first. Use filters to adjust the view further.
Picking does not block dispatch. You can mark an order as prepared without completing the picking step. Picking is a reference tool to help locate parts before packing.
Three photos are required. Incomplete or unrelated photos may affect the outcome of any buyer or carrier dispute.
Incorrect dimensions may incur additional charges. Measure and weigh the parcel before entering dimensions. If the carrier identifies a discrepancy, the difference may be charged to you.
Priority orders must be dispatched first. Use the delivery type filter in Awaiting dispatch to view these separately.
What if...
The invoice shows "Not needed" but my buyer has asked for one. You can still upload an invoice manually. The Not needed status reflects the buyer's selection at checkout — it does not prevent you from providing one.
The QR code for photo upload is not working. Use the desktop upload instead. Drag files into the upload area in the Photos step, or click Browse to select them from your device.
